The most phrases for a meeting call, Zoom or hangout

I find it from my meetings when I hear common work phrases when jumping on a video call. I take the notes and write down the phrase for learning and improving my skills

Introducing yourself

You’ll want to start the meeting by welcoming your attendees and introducing yourself. You can start with a simple greeting, using phrases such as:

  • “Good morning / afternoon”
  • “Let’s begin”
  • “I’d like to welcome everyone”
  • “Since everyone is here, let’s get started”
  • “I’d like to thank everyone for coming today”

After greeting them, introduce yourself:

  • “I’m [your name]. I’ll keep this meeting brief as I know you’re all busy people”
  • “I’m [your name] and I arranged this meeting because…”

Asking others to introduce themselves

  • “Let’s go around the table and introduce ourselves, [name] do you want to start?”
  • “Let’s introduce ourselves quickly — please state your name, job title, and why you are here”

How to interrupt politely ( stop someone and make a question)

If you accidentally speak over someone or have something to add to what is being said, you can interrupt with the following phrases:

  • “Sorry, but just to clarify”
  • “Sorry I didn’t quite hear that, can you say it again?”
  • “That’s an excellent point [person’s name], what about doing [action point] as well?”
  • “From our departments perspective, it’s a little more complicated. Let me explain”

You can also use phrase such as:

  • “Excuse me for interrupting”
  • “I’ve never thought about it that way before. How does it affect [this point]”

Asking questions (Asking for Clarification)

There are many different ways to ask questions during the meeting. The following phrases are suitable when asking for someone to repeat what they have said:

  • “Can you repeat that please?”
  • “Can you run that by me one more time?”
  • “Can you repeat that in a simplified way?”
  • Excuse me, could you please clarify what you said about the new travel policy?

For clarification the following phrases should be used:

  • “I don’t fully understand what you mean. Could you explain it from a different angle?”
  • “Could you explain to me how that is going to work?”
  • “Just to be clear, do you mean this [repeat the explained point in the way you understand it]”

The person leading the meeting or giving the presentation can also ask:

  • “Are there any more comments?”
  • “What do you think about this proposal?”
  • “Are there any areas of this project we are not thinking about?”

Answering questions

The presentation can also end by requesting input or feedback from the participants and answering their questions, if any. The following phrases will be useful for such situations:

  • “Any final thoughts before we close the meeting?”
  • “If you have further questions you can send me an email [have email address on the final presentation slide]”
  • “I’d like to thank everyone for sharing their time today and any feedback would be valuable”
  • “So do we think this is the correct way to proceed?”

Welcoming participants & Checking attendance

  • Hi … (name) you’re the first one to dial in so let’s wait for the others.
  • Hello. This is … Peter from Hamburg.
  • Good morning Peter. Thank you for joining us today.
  • Hello, who has just joined the call?
  • … (name) is also on the line.
  • I just wanted to let you know that … (name) will be joining us today.
  • Unfortunately, Ryan is absent today. We will have to proceed without his.

Say hello to someone before the meeting starts

  • How is everyone?
  • What’s the weather like over there?

When you can’t hear what is another member saying

  1. You’re on mute

Ask for someone missing in the

  1. Do we have everyone here?

2. Do we have Ryan yet?

3. Are we waiting for anyone else?

Confirm about your share screen

  1. Can you see my screen?

2. I’m sharing my screen, can everyone see it?

3. I’m uploading the document now, can you see it?

Starting the call

  1. Is everyone ready to start?

2. Shall we start?

3. As you know, today we are discussing X…

Start the demo

  1. Today we would like to demo

Overcoming sound issues

  1. Ryan, I can hear background noises, please can you put yourself on mute when you are not talking?

2. The sound quality is not good, please can everyone speak up?

3. I can’t hear Jane, can everyone else hear Jane?

4. Sorry can you say that again, I can’t hear you clearly?

5. Sorry can you repeat that, the sound quality is poor?

6. I can’t hear you very well.

7. I’m sorry. I‘m having trouble with my microphone.

8. There’s a lot of noise in the background. Could you check your microphone, please?

When you want to someone repeat their question or explain something again

  1. Could you say that again, please?

2. I’m afraid I didn’t understand, John. Could you speak more slowly please?

3. I’m sorry, I still didn’t understand. Could you please speak up a bit?

4. Alex, what do you mean by…?

5. Peter, could you explain that in another way?

6. I’m sorry, Peter, but I’m afraid I didn’t understand. Please could you repeat that?

7. Peter, would you mind repeating that?

8. I’m sorry, Peter, but I didn’t understand the last part of your sentence.

When you want to clarify again another answer make that you understand

  • No, sorry, that’s not what I meant.
  • Maybe I didn’t explain that very well.
  • Let me explain that in another way.

Finishing the your demo

  • Is there anything else to discuss?
  • I think that’s it for this story, have any questions for me, Ryan?
